Show a statement on invoices
Adding an account summary to an invoice, so a customer sees their overall position alongside the current charges.
Before you start
Section titled “Before you start”Decide whether this should apply to everyone or to one customer. The setting belongs to a template — turning it on in your default template affects every invoice; turning it on in a template assigned to one customer affects only theirs.
- Go to and open the template you want to change.
- Find the Statement checkbox in the builder’s controls and tick it.
- A section headed Account Statement appears on the template preview, showing six figures. You do not have to add these individually — they come as a set.
- Save the template.
Every invoice produced from that template now carries the summary.
What it produces
Section titled “What it produces”| Figure | Meaning |
|---|---|
| Opening Balance | What was outstanding before this period |
| Current | Owed but not yet overdue |
| 30 Days | Outstanding 30 or more days |
| 60 Days | Outstanding 60 or more days |
| 90+ Days | Outstanding 90 or more days |
| Total Outstanding | The closing balance across all of the above |
Good to know
Section titled “Good to know”The setting applies per template, so the choice is whether it reaches everyone (the default template) or particular customers (their assigned templates).
The aging columns are fixed at Current, 30, 60 and 90+ days. They are not derived from the customer’s payment terms, so a customer on 15-day terms and one on 45-day terms see the same column headings. See Change a customer’s payment terms for why that is, and what payment terms actually do change.
If something goes wrong
Section titled “If something goes wrong”The section is there but the figures are blank or zero. The customer has nothing outstanding in those periods, or no statement figures have been produced for them yet. A blank statement panel is not the same as a broken one.
It appeared on invoices you did not expect. You turned it on in a template that more customers than you thought are using — most likely the company default. Check which template the affected customers are assigned.
