Book a job

Placing a job: where it is collected, where it goes, what it is, and when it is needed.

Have the two addresses and a contact name for the pickup. You do not need to know which service to use — the form works that out once it knows where the job is going and how big it is.

  1. Open BookingHome. If you are booking on a customer’s behalf, the app first asks “Who are you booking as?” — search for the customer, pick the user the booking belongs to, and press Confirm Client & Contact. Either way, check the account named at the top of the form is the right one before you start filling anything in.

  2. Pick up from. The collection address is prefilled with the account’s own address — change it if collection is somewhere else. Use Extra From Info for a company, unit, floor or building. Enter the Pickup Contact Name — this one is required — and a phone number if you have it. Pickup Notes are for the driver collecting.

  3. Deliver to. The same again for the destination. Extra To Info takes the building or suite; Delivery Notes reach the driver delivering.

  4. Package. Choose a Vehicle, then decide how to describe what is being sent:

    • Standard — pick a Package Size from the presets, which carry their own dimensions and weight, from satchels through to pallets. Pick the closest.
    • Custom — enter the items yourself instead of using a preset. Use this when nothing on the list fits.

    Then set the Quantity and Total Weight, and tick Any Dangerous Goods? if that applies.

  5. Date and time. By default the job is Ready Now / Deliver ASAP. Click it to set a specific time: a Select Prebook Time dialog opens with the date, time and time zone. The same dialog is where you switch from Normal to Recurring if the work repeats — see Set up a recurring booking.

  6. Tracking. Choose how the recipient hears about it — website, email, text, or both. Leave my Parcel decides whether a signature is needed or the parcel can be left somewhere; the default is signature required.

  7. References. Your own tracking codes. These are usually renamed for the account you are booking on, and one may be required before the job can be booked.

  8. Service. Once the destination and package size are filled in, the available services appear with their prices. Choose one.

  9. Check the whole form, then press Book Job.

The reference fields are where your own numbers go — a purchase order, a case number, a job code from your system.

Two things worth knowing:

  • They are usually renamed. What the guide calls “Client Ref A” will probably read as the name chosen for that account — “PO Number”, “Case Ref”, or similar.
  • They can be required. On some accounts you cannot book without one.

They also matter later: invoices can be grouped by reference, so a consistent reference is what makes one invoice per project or per case possible. See Choose how a customer’s invoices are grouped.

There are three kinds, and they do not go to the same people:

  • Pickup Notes and Delivery Notes reach the driver
  • Client Notes are for your own reference — the form says so directly: “This field is for your reference only. Notes entered here are not used for dispatch and are not seen by couriers.”

If something must reach the driver, it does not go in Client Notes.

The form is filled top to bottom, a pickup contact name is always required, services only appear once the destination and package are known, and nothing is booked until you press Book Job. What sits inside the Package, Tracking and References sections — the vehicles, package presets, delivery options and reference names — comes from your setup, and some of it is per-customer.

No services are showing. Fill in the destination and the package size. The section names those two directly.

It will not let you book. Something required is empty — most often the pickup contact name, or a reference field that is compulsory on that account.

The address lookup cannot find it. Search for the street address and put the rest — building, unit, floor — in the Extra Info field. See How addresses are stored.

Open questions
  • Saved bookings exist — the form carries a saved-booking search with an Add control, and the staff gate offers a Saved Booking search (both seen 2026-09-01). The Add/Update mechanics still need exercising before 'Save and reuse a booking' is written.
  • What happens after Book Job — no booking was submitted.
  • Whether and how the reference fields are renamed per account on the baseline build — the account used on the 2026-09-01 walk showed the default 'Client Ref A / Client Ref B' labels.
